Overview
The client also needed a consistent and secure offboarding process. When employees left the organization, IT had to disable accounts, remove access, handle mailbox-related actions, and reclaim Microsoft 365 licenses. When this process is handled manually, it can create security risk and unnecessary licensing cost. MSPowerhouse built offboarding automation as part of the broader HR Admin Portal and user lifecycle management process.
Challenge
- Capture offboarding requests in a structured way.
- Route requests for approval or confirmation.
- Disable user accounts consistently.
- Remove or adjust Microsoft 365 licenses.
- Handle Exchange Online mailbox requirements.
- Remove access from groups or services.
- Track completion status.
- Create a record of what was done and when.
Solution
MSPowerhouse extended the HR Admin Portal and Power Automate workflows to support offboarding. HR or authorized admins could submit an offboarding request, provide the termination or last working date, identify the user, and select required offboarding actions.
Once approved or triggered, the automation executed the offboarding process across Microsoft 365 services. The process disabled or updated the Entra ID account, handled mailbox-related requirements in Exchange Online, removed or reclaimed Microsoft 365 licenses, and updated the request status for visibility.
Technical Execution
- SharePoint-based offboarding request form.
- Approval or confirmation workflow.
- Entra ID account disablement.
- Microsoft 365 license removal or reassignment.
- Exchange Online mailbox handling.
- Group and access removal.
- Status tracking for offboarding actions.
- Notifications to HR and IT.
- Error handling and exception visibility.
- Audit trail for completion and compliance.
Outcome
The client received a more reliable and secure offboarding process. Departing users could be removed from access more consistently, and Microsoft 365 licenses could be reclaimed faster.
Impact
The automation reduced security risk and helped protect the licensing savings achieved during the optimization effort. Instead of leaving offboarding to manual follow-up, MSPowerhouse helped the client create a consistent process that supported both access governance and cost control.
