Overview
QinetiQ needed a better way to manage more than 20 Microsoft 365 distribution lists that were being updated manually. These lists were used across the organization for communication by department, location, leadership group, job code, business unit, and other employee attributes. Because the updates depended on employee metadata, the process required frequent manual review and carried the risk of missed updates, outdated membership, or incorrect list assignments.
Challenge

Solution
MSPowerhouse built an automated distribution list management solution using SuccessFactors data, Power Automate, Azure Automation, PowerShell, SharePoint, Excel, Blob Storage, webhooks, and Exchange Online.
The solution used employee metadata from SuccessFactors as the foundation for list membership logic. Data was processed through a combination of Power Automate workflows, Azure Automation runbooks, PowerShell scripts, Excel-based data handling, SharePoint configuration, and Blob Storage. Rules were applied to evaluate employee attributes such as job code, department, location, business unit, supervisor, and other metadata fields.
Based on those rules, the system automatically updated more than 20 Microsoft 365 distribution lists. Instead of manually adding and removing users, the automation evaluated the latest employee data and placed users into the appropriate lists. This allowed QinetiQ to manage list membership using repeatable filters and business logic rather than manual effort.
Technical Execution

Outcome
QinetiQ moved from manually maintaining distribution lists to an automated, metadata-driven process. More than 20 distribution lists could now be updated based on SuccessFactors data and business rules. The system helped ensure that employees were included in the correct communication groups based on their role, location, department, job code, or organizational assignment.
Impact
The automation reduced manual administration, improved accuracy, and created a more scalable process for managing organizational communication. Distribution lists that previously required manual review and updates could now be maintained automatically from HR data. This helped the client improve communication governance, reduce the chance of outdated membership, and ensure that employees were included in the right distribution lists as their organizational metadata changed.
